Sending SMS Text Messages to Clients.

PhonePad has a nifty little feature that allows you to send SMS text messages to any of your clients.

To do this though, you first need to set some things up.  We’ll go through that here.

SMS Gateway Provider

First things first.

We don’t have the infrastructure, capacity or resources to be an SMS Gateway provider, so you’ll need to open an account with a 3rd party provider.

Currently, PhonePad supports SMS Global and Clickatel.

Select an SMS Message Provider

Once you have your SMS account, you’ll need to set it up in PhonePad.

  1. Select Communication Settings from the System Admin toolbar.
  2. Select SMS.
  3. Select the appropriate SMS Provider from the drop-down list.
  4. Enter the details of your SMS account.
  5. Toggle the Active switch to ON.
  6. Click the OK button.

Next, you need to enable access to the SMS feature.

  1. Select System Rules from the System Admin toolbar.
  2. Select SMS.
  3. Check the Allow users to send messages using SMS checkbox.

In the section above we enabled general SMS access to users, but there is one final step to give user access.  You have to grant access to each user individually.

You may wonder why we did it this way.

It’s so you can disable or enable SMS access for everyone with a couple of clicks.

But when SMS access is enabled, you may not want all users to have access.  That’s why this next step enables or disables access individually for each user.

  1. Select User Management from the Manager toolbar.
  2. Select a user from the list of users.
  3. Click the SMS button.
  4. Check the Allow sending of SMS Messages checkbox.
  5. Click OK.

The user should now be able to send SMS messages.

  1. Click on the Short Messages button the toolbar and select Send SMS.

You can also send SMS messages by selecting a phone message, right-clicking on it, and selecting Send SMS Message from the popup menu.

The caller details will be pre-filled for you.

Are You Using Sticky Notes for Call Logging?

A Brief History of Sticky Notes

Sticky notes, also known as Post-it notes, are a ubiquitous office supply that have become a staple in workplaces and homes around the world. The original idea for Sticky notes are not good for call loggingthe sticky note came from Spencer Silver, a chemist at 3M, who was attempting to create a strong adhesive. In 1968, he accidentally created a low-tack, reusable adhesive that was not very useful for 3M’s existing products.

Several years later, a 3M employee named Art Fry was struggling to keep his choir hymnal open during practice when he remembered Silver’s adhesive. He used the adhesive to create bookmarks that would stay in place without damaging the pages of the hymnal. After realizing the adhesive could be used for other purposes, Fry and Silver began developing a new product.

In 1977, 3M introduced Post-it notes to the market. They were initially available in only a few colors and sizes, but their popularity quickly grew. The company invested in advertising and marketing campaigns to promote the product, and by the early 1980s, Post-it notes had become a household name.

Today, Post-it notes are available in a wide range of colors, shapes, and sizes, and are used for a variety of purposes beyond their original intention.

Sticky Notes are Not a Good Choice for Logging Phone Calls

Sticky notes are not a reliable or secure way to log phone calls. Here are some reasons why:

  • Limited Space: Sticky notes are small in size, which means that there is limited space to record the details of a phone call. This could lead to important information being left out or written in an abbreviated form, making it difficult to understand later on.phonepad
  • Easy to Lose: Sticky notes can easily fall off, get misplaced or lost, especially in a busy office environment. If this happens, you may not be able to retrieve the information you need about the phone call. If you rely on sticky notes to log phone calls, you may not be able to find them when you need them. This can result in important information being lost or forgotten.
  • No Backup: Sticky notes are not backed up or saved automatically, which means that if something happens to the note, you may lose the information forever.
  • Lack of Organization: Sticky notes can quickly become disorganized, making it difficult to find the information you need. This can result in missed calls or delayed responses.
  • Security Risk: Sticky notes are not a secure way to record sensitive information. Sticky notes can be seen by anyone who walks by your desk, they could easily read the information on your sticky notes, potentially exposing confidential information.
  • Cost: A sticky note is typically only used once, which means you have to keep buying more.  Have you worked out how much you spend on sticky notes over a year or more?

Sticky notes have their place in a busy office. But as versatile as they are, they’re not suited for logging phone calls. It is recommended you use a more secure and organized system such as purpose-built software.

Still Using PhoneSlips? How Would You Like to Replace It With a Much Better Solution, for Free?

Many moons ago Telexis, the creator of Phoneslips, decided to close permanently.  Unfortunately, this left Phoneslips customers without any future phone message softwareupdates or support.

When we heard the news we spoke to Telexis a few times about getting information on how they stored their data.  The plan was to develop a tool to migrate all of the Phoneslips data into PhonePad.

We already had a lot of ex-Phoneslips customers using PhonePad, and many more making the switch.  A migration tool would have been an enormous help to them.

The bad news was that Telexis were unwilling or unable to provide that information.

This left Phoneslips users in a difficult position as only their contacts data could be transferred into PhonePad.

Over the years we have tried to get a fully functioning copy of Phoneslips so that we Migrate Phoneslips Datacould analyze it and work out how the data was stored and structured.

So far we haven’t had any luck.  Although we had quite a few Phoneslips users say they would send us a copy, we never received any.

We’ve decided we’re going to give it one more red-hot go.

What we’re after is a genuine, fully functioning copy of Phoneslips, either with sample data or real data.  We do not want any pirated, warez, or other illegitimate copies.  We also don’t want any updates as they require the full version of the Phoneslips.

We are happy to accept the original installation software (digitally, not on CDs), or a zipped existing installation.

If you are able to provide this, and we confirm that it actually works, we will give you free licenses for:

  • PhonePad 10 Users
  • MessageSender
  • Appointment Calendar

Of course, you will also get 12 months of updates included.  This is a total value of $321.

Now we only need one (1) fully functioning copy of Phoneslips, so the first person to provide us with that will get the free licenses.

Naturally, if the copy of Phoneslips we receive contains any real data, it will be destroyed once we have worked out how to extract data and build a migration tool.
